Project Coordinator (8223)

Job Summary: The Project Coordinator provides essential support throughout the project lifecycle by coordinating resources, managing documentation, and facilitating communication between stakeholders. This role focuses on job setup, financial tracking, compliance, and client relationship management, while offering administrative and project assistance to both project managers and field teams. The ideal candidate is proactive, highly organized, and skilled at multitasking in a fast-paced environment.
 
Key Responsibilities:
  • Project Lifecycle Support: Set up new projects in internal systems; participate in project review meetings; support cost analysis, billing, change management, and project closeouts.
  • Financial Administration: Assist with accounts receivable, change orders, subcontractor compliance, and documentation for service calls and special client reporting.
  • Client & Partner Management: Manage client pre-qualifications and portal setups; request new business partners and required documentation.
  • Operations Support: Coordinate bid documents, travel arrangements, and internal events.
  • Other Duties: Perform additional administrative tasks as assigned by the project manager or supervisor.
Qualifications:
  • Proven experience in project coordination or administrative support
  • High school diploma or equivalent required
  • Associate’s or Bachelor’s degree preferred
  • Strong communication, organizational, and interpersonal skills
  • Proactive and detail-oriented with strong problem-solving abilities
  • Proficiency in Microsoft Office and project-related software
  • Ability to manage multiple tasks and meet deadlines
  • Experience in the construction industry preferred
  • Knowledge of billing processes
