Payroll Specialist

Position Overview: Our client is seeking a Payroll Specialist to join its Finance team. This role is responsible for the accurate and timely processing of payroll across multiple states while ensuring compliance with federal, state, and local payroll regulations. In addition to payroll administration, this position supports accounting functions, employee inquiries, and payroll reporting. The ideal candidate is detail-oriented, organized, and experienced in managing complex payroll processes in a fast-paced environment.
 
Key Responsibilities
  • Process weekly payroll accurately and on time, ensuring compliance with company policies and payroll regulations
  • Maintain employee data within the payroll/HRIS system and process employee status changes
  • Administer multi-state payroll and ensure compliance with state and local tax requirements
  • Process payroll taxes, per diem, travel reimbursements, and other employee allowances
  • Administer union payroll, fringe benefit payments, union dues, and assist with certified payroll and union audits
  • Respond to employee payroll inquiries and resolve payroll discrepancies in a timely manner
  • Support payroll reporting, employment verifications, and audit requests
  • Assist with expense reimbursements, corporate credit card processing, and other accounting-related activities
  • Collaborate with Finance, HR, and other departments to support payroll operations and continuous process improvements
  • Maintain confidentiality of sensitive employee and payroll information
 
Qualifications
  • Bachelor's degree in Accounting, Finance, Business, or related field; equivalent experience considered
  • 3–5 years of payroll and accounting experience
  • FPC or CPP certification a plus
  • Experience processing multi-state payroll and payroll tax compliance required
  • Experience with union payroll, fringe benefits, certified payroll, and employee benefits 
  • Knowledge of accounts payable and general accounting principles
  • Experience with HRIS/payroll systems; Workday experience is a plus
  • Strong knowledge of payroll tax regulations and reporting requirements
  • Proficiency in Microsoft Office, including Excel and SharePoint
  • Excellent organizational, analytical, and communication skills
  • Ability to manage multiple priorities while maintaining a high degree of accuracy and confidentiality
