Administrative Coordinator (Operations)

Job Description: The Administrative Coordinator plays a key role in supporting operational efficiency and ensuring high standards of customer service. This position provides administrative and process improvement support across departments, contributing to workflow enhancements, and delivering value-added services to internal and external stakeholders.
 
Key Responsibilities:
  • Support operational process improvements by working with project managers and cross-functional teams; provide feedback on new or evolving workflows, systems, and technologies.
  • Perform full-cycle payment card administration including reconciliation of monthly bills, gathering supporting documentation, and maintaining related travel and expense systems.
  • Coordinate travel arrangements such as booking flights, cars, hotels, and maintaining travel credits and documentation.
  • Ensure accurate entry of new customer data into internal systems and coordinate with relevant departments to ensure seamless service delivery.
  • Provide general administrative support including scheduling, meeting coordination, document preparation, and maintaining office supplies.
  • Maintain professional communication with internal teams, customers, and vendors via phone, email, and in person.
  • Contribute to department goals by supporting initiatives that increase efficiency and reduce operating costs.
  • Handle confidential information with discretion and professionalism.
 
Qualifications:
  • High School Diploma or equivalent required; some college preferred.
  • 1–3 years of administrative support experience.
  • Strong communication, organizational, and problem-solving skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Visio); familiarity with ERP/accounting systems preferred.
  • Ability to collaborate across departments and maintain strong working relationships.
  • Experience with travel systems and basic network knowledge a plus.
  • Commitment to delivering exceptional customer service.
  • Willingness to participate in ongoing training and development.
