Administrative Coordinator (Operations)
Job Description: The Administrative Coordinator plays a key role in supporting operational efficiency and ensuring high standards of customer service. This position provides administrative and process improvement support across departments, contributing to workflow enhancements, and delivering value-added services to internal and external stakeholders.
Key Responsibilities:

Support operational process improvements by working with project managers and cross-functional teams; provide feedback on new or evolving workflows, systems, and technologies.

Perform full-cycle payment card administration including reconciliation of monthly bills, gathering supporting documentation, and maintaining related travel and expense systems.

Coordinate travel arrangements such as booking flights, cars, hotels, and maintaining travel credits and documentation.

Ensure accurate entry of new customer data into internal systems and coordinate with relevant departments to ensure seamless service delivery.

Provide general administrative support including scheduling, meeting coordination, document preparation, and maintaining office supplies.

Maintain professional communication with internal teams, customers, and vendors via phone, email, and in person.

Contribute to department goals by supporting initiatives that increase efficiency and reduce operating costs.

Handle confidential information with discretion and professionalism.
Qualifications:
-
High School Diploma or equivalent required; some college preferred.

1–3 years of administrative support experience.

Strong communication, organizational, and problem-solving skills.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Visio); familiarity with ERP/accounting systems preferred.

Ability to collaborate across departments and maintain strong working relationships.

Experience with travel systems and basic network knowledge a plus.
