Executive Assistant
Position Summary: The Executive Assistant will provide administrative and financial support to a senior executive. This position requires a highly organized and detail-oriented individual who can manage sensitive information with discretion and maintain accuracy in both administrative and financial responsibilities.
Job Responsibilities:

Keep financial records organized, accurate, and up to date

Ensure bills are paid and receivables are processed on time

Reconcile accounts and track expenses

Prepare and submit reimbursement requests as needed

Reconcile and report discrepancies or issues found in financial records

Maintain records of financial transactions by establishing accounts and posting transactions; ensure compliance with legal requirements

Respond to emails and other digital correspondence in a timely and professional manner

Screen telephone calls, receive and relay messages as needed
-
Open, catalog, copy, and distribute incoming mail and other communications promptly

Maintain the personal and professional schedule for the executive
-
Handle sensitive information with a high level of discretion and confidentiality

Ensure compliance with privacy policies and applicable regulations
Qualifications:
-
Minimum 3-5 years of bookkeeping experience (QuickBooks preferred)

5-7 years of administrative assistant experience
-
Proficient in Microsoft Office, specifically Word, Excel, Outlook, and Access
-
Proficiency in accounting software
-
Excellent written and verbal communication skills
-
Strong organizational and time management abilities

Associate of Applied Science degree in Legal Studies, Business Administration, or a related field preferred
