Executive Admin

Position Overview: We are seeking an Executive Admin to provide high-level administrative support to an executive and department by handling a variety of tasks requiring independent judgment, confidentiality, and organizational skills.
 
Key Responsibilities:
  • Manage complex calendars, travel arrangements, meetings, and departmental events.
  • Prepare, proofread, and format correspondence, reports, presentations, and business materials.
  • Handle confidential and sensitive information with discretion.
  • Serve as a liaison between executive leadership, internal teams, and external stakeholders.
  • Coordinate projects, direct mailings, and departmental communications.
  • Organize and maintain filing systems and resource libraries.
  • Respond to information requests and draft routine and non-routine correspondence.
  • Manage incoming calls, mail, and inquiries; prioritize and route as appropriate.
  • Support expense tracking, reimbursements, and financial documentation.
  • Collaborate with other administrative staff to ensure coverage and continuity.
 
Qualifications:
  • 5–7 years of relevant administrative experience.
  • Associate’s degree preferred.
  • Exceptional organizational, communication, and customer service skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Strong attention to detail and problem-solving skills.
  • Demonstrated discretion with confidential information.
